Messages & templates
Messages at /admin/messages is the library of emails and texts
your winery sends: ticket confirmations, club charge receipts, gift card
delivery and more, plus templates you write yourself. Each one opens in the
composer, a full page where you edit the wording, preview it, and
publish a version. Reach it from Settings → Guests and communications →
Messages ("Write the emails and texts guests and members get").
You can write, preview, test and publish a message today, and Avero keeps every published version. But the emails and texts Avero actually sends are not yet taken from this library. A published template does not replace the ticket confirmation, club receipt or gift card email a guest gets, and nothing on these pages sends a message to guests. The only email that leaves the composer is Send test to me.
The composer's own wording, such as "Guests get the published version until you publish again", describes how it is meant to work once sending is connected. Use the library now to get your wording ready.
Who can use it
- Open the library, create and edit drafts, preview, send a test —
communications.admin: Manager, Admin. - Publish —
communications.publish: Manager, Admin. A custom role with the first permission but not the second sees "Saved as a draft. Someone who can publish makes it live." in place of the Publish button.
The message library
The page title is Messages. The line under it counts your messages, how many have unpublished changes, and any default updates available.
- Tabs filter by area: All, Events, Wine Club, General, each with a count.
- The search box ("Search messages or triggers") matches a message's name or its trigger.
- Each row shows the name, a kind (Marketing or Operational), a status, and the trigger, for example "Sent when tickets are bought". A template you created shows "Sent by staff".
- Edit opens the message in the composer.
| Status chip | Meaning |
|---|---|
| Avero default | Avero's own wording. You have not published a version. |
| Draft | You have started a version and not published it. |
| Published v2 | Your published version, with its number. |
| Unpublished changes | The draft differs from the published version. |
| Update available | Avero changed the default after you customised it. |
| Required | A notice guests need. It can be edited but not turned off. |
Avero supplies 16 messages:
- Events — Ticket confirmation, Reminder — 2 days before, Reminder — 2 hours before, Time change notice, Waitlist — seat available, Cancellation and refund, Thank you.
- Wine Club — Welcome to the club, Release announcement, Charge receipt, Card declined, Shipment on its way, Pickup reminder, Hold or skip confirmed, Membership cancelled.
- General — Gift card delivery.
Create a template
- Choose New template. A form opens on the page.
- Enter a Name (for example "Harvest dinner announcement").
- Pick an Area: Events, Wine Club or General.
- Pick a Kind: Marketing or Operational.
- Choose Create and edit. The composer opens on your new template.
There is no button on these pages to delete a template or to send one to guests.
Edit an email
The composer has three tabs: Email, Text message and History. On Email:
- Write the Subject and the Preheader ("the grey line after the subject"). The dashed line below shows how the two will look in an inbox.
- Write the body in the canvas. Your winery's header and footer are fixed around it. The composer's hint: type a forward slash in the email "for headings, buttons, columns and more."
- Add Merge fields from the panel beside the canvas, or with Insert field… next to the subject and preheader. A merge field is a placeholder, such as the guest's first name or your winery's name, that is filled in for each person. Only the fields that suit the message's area are offered.
- Add Live data blocks where the message has them, such as Event details, Ticket QR codes, Charge summary or Gift card code. The panel explains: "Filled in at send time. You can move or remove it, not edit its figures."
- Add pictures with Add from media library or Upload image. "You can also paste or drop an image into the email."
Changes save by themselves about a second and a half after you stop typing. The header shows Saving…, then Saved, or Not saved if something needs fixing.
Write the text-message version
The Text message tab holds the text version of the same message, with its own Insert field… picker, a character count and a preview with sample values. The text must include opt-out wording. The tab gives the example "Reply STOP to opt out."
Preview and test
- Switch Edit to Preview to see the email inside your branded layout, at Desktop or Mobile width. The note reads "Sample values; live data shown as placeholders."
- Send test to me emails the current draft to the address on your own Avero account, with the subject starting "[Test]". The message confirms where it went: "Test sent to" followed by your address. A test sends the email only, not the text message.
Check and publish
The Checks panel reads all good when the draft uses "Only allowed fields and blocks, a subject, and opt-out wording on the text." Otherwise it counts what there is to fix and lists each item, and Publish stays disabled until the list is empty.
Choose Publish to store the draft as the next version. The message reads "Published as version" and the number. See the warning at the top of this page for what publishing does and does not do today.
History and undoing changes
- History lists each published version with its subject and date. Restore to draft copies a version back into the draft. The message reads "Draft replaced. Publish to make it live."
- Discard draft asks "Discard your changes?" on the page, with Discard and Keep. It returns the draft to the published version, or to Avero's default if nothing was published.
- When "Avero updated the default for this message" appears, choose See the new default, then Use the new default or Keep mine.

Troubleshooting
- "The draft can't be saved yet" or "The draft can't be published yet" — the Checks panel lists what to fix, most often a missing subject, a field the message does not allow, or missing opt-out wording.
- "Wait a few seconds before sending another test" — tests are limited to one every ten seconds.
- "Your account has no email address to send a test to" — add an email to your Avero user account.
- "The test email couldn't be sent" — try again shortly. If it keeps failing, tell Avero support.
- "The image didn't upload. Try again." — upload the picture again.
- "This message couldn’t be loaded." — go back to Messages and open it from the list.
- I published, but guests still get the old email — that is expected today. See the warning at the top of this page.
